Distribution Associate

The Role

The Distribution Associate is responsible for the effective co-ordination and processing of Drug Order Forms received into the department and the generation of shipping documentation required for the effective control of material throughout the dispatch and distribution process.

The incumbent needs to ensure that all details are keyed into the inhouse system, COSMOS, accurately and punctually. In addition, the person needs to prioritize shipping orders, liaise with couriers and carriers, communicate with customers, help with the preparation of distribution instructions and carrying out administrative duties for the Operations department.

Responsibilities

• Ensure that all distribution activities are completed in accordance with approved documentation.
• Process Drug Order Forms ensuring that details such as batch allocation, quantity and medication numbered packs are keyed into COSMOS accurately.
• Allocate batches for opened and randomized protocols, and identify patient packs required for each Drug Order Form.
• Prepare all relevant paperwork required for each dispatch in line with distribution procedures, carrier’s requirements and customs regulations.
• Arrange shipping of ancillary orders, raising airway bills and generating shipping paperwork.
• Generate pro-forma and commercial invoices, Dangerous Goods declarations, e-Cert documents and any other country specific declarations.
• Liaise with internal and external customers, and carriers regarding invoice approvals, queries and amendments.
• Perform and maintain computer transactions in line with distribution and material control systems.
• Administrative duties such as photocopying, filing, archiving of Operations documentation
• Other ad hoc tasks as required by the manager

Criteria

• Minimum GCE ‘O’ Level qualification
• Excellent communication skills
• Prior experience in a shipping/ export environment
• Knowledge of MS Suite
• Detailed
• Comfortable with fast-paced environment
• Prior experience in a customer and supplier-facing role.
• Knowledge of shipping dangerous goods
